Overview
An instructor-led course can require instructors to have taught the course recently before they can be assigned to a new class. Two settings on the course's Settings tab control this:
- Require Recent Experience: turns the rule on for the course.
- Max Days Since Taught: the number of days that can pass after an instructor's most recent class of this course before they are no longer considered qualified.
How the rule is applied
An instructor meets the recent experience rule when they are assigned to at least one class of the same course with a class end date within the last Max Days Since Taught days.
- Primary and additional instructors both count. Teaching as an additional instructor resets the count the same way as teaching as the primary instructor.
- Only the same course counts. Classes for other courses do not reset the count, even if the content is similar.
- The count is based on the class end date. For example, with Max Days Since Taught set to 500, an instructor whose most recent class ended on May 8, 2026 remains qualified until September 2027.
Where the rule takes effect
- Adding instructors to a class: on the class Instructors tab, the Add Instructor list for the primary instructor and additional instructors only shows instructors who meet the course's qualification rules.
- Copying a class: an instructor who copies a class for the course must meet the rule themselves.
Using it together with Require Instructor Certification
If Require Instructor Certification is also set on the course, an instructor must meet both rules: they must hold the selected certification, and they must have taught the course within Max Days Since Taught.
Overriding the rule
Administrators whose role includes the Class Qualified Instructor Override permission (under Classes) see all instructors in the Add Instructor list, whether or not they meet the qualification rules. Use this to assign an instructor who is returning after a long break, then the class they teach resets their count.
If an instructor is not showing as qualified
- Check their most recent class of this course. In the class list for the course, search by the instructor's name and note the end date of their latest class.
- Confirm they are on the class Instructors tab. The instructor must be listed as the primary instructor or an additional instructor on that class. Being mentioned in class notes or a description does not count.
- Compare against Max Days Since Taught. If the latest class ended more days ago than the setting allows, the instructor no longer qualifies until an administrator with the override permission assigns them to a class.
- Check certification, if required. Confirm the instructor's certification is complete and not expired.
