Overview
AI Report Finder helps you find the right report or dashboard by describing what you need in plain language. For example, ask “who on my team has overdue courses?” and it returns matching reports you already have permission to run, with the best match highlighted and suggested filters for the top results.
Note: It does not create new reports, change existing ones, or grant new access. The feature is marked Beta and is off by default. Please contact Support to enable.
Where to Find It
Admin menu → Analytics → AI Report Finder. You can also add it to a custom menu, quick link, or console widget from the page picker under Reporting.
Ask a Question
- Open AI Report Finder.
- Type what you want to report on, or click a sample question chip.
- Select send.
Say who or what you want to see and what about them. Naming the shape you want — a list versus a visual overview — also helps, because dashboards and tabular reports are both eligible.

Note: Questions are limited to 500 characters. A search usually takes a few seconds.
Reading the Results
Results appear as cards, most relevant first. Each card can show the report name, a Best Match badge on the first result, a category, the description, and Suggested filters on the top three matches.
Up to ten results are returned. Narrower questions usually produce better matches.
Suggested filters are hints only. They are not applied automatically. When you open a report, set its filters and run it as usual.
Tip: A filter name with no value is expected when the options come from your live data, which is not sent to the AI service.

What It Can and Cannot Find
Included: Enabled system reports and dashboards your campus and role can already access.
Not included: Saved Reports, Generated Reports, Scheduled Reports, disabled reports, and reports you cannot access.
Different users may see different results for the same question based on permissions. Asking twice can return a slightly different order or filter suggestions. That is normal.
Tip: Matching uses report names, descriptions, and categories.
Privacy and Data Use

AI Usage Dashboard
The AI Usage dashboard (Reports → Utilization) shows request and token volume for AI features on your campus. It uses ordinary Reports permissions and does not show question text.
Troubleshooting
- Confirm AI Report Finder Enabled is Yes for your campus.
- Confirm your role includes Report Finder under AI.
- Confirm your role includes the Reports module.
- Try a more specific question.
- If a report is missing, confirm it is enabled and that your role can access it.
If issues persist, contact Support with your username, campus, the question entered, date/time, and a screenshot if available.
Frequently Asked Questions
Does AI Report Finder create new reports?
No. It recommends existing reports and dashboards you already have permission to run.
Why don’t I see it in the Analytics menu?
It must be enabled for your campus, and your role must include the Report Finder permission.
Why do searches return no results?
Your role may be missing the Reports module, or no matching reports are available. Try rephrasing the question.
Why aren’t suggested filters filled in?
They are guidance only. Set filters on the report’s configuration screen.
Why can’t it find a saved report?
Saved, generated, and scheduled reports are outside the search catalog.
Is learner data sent to the AI service?
No. Only your question and report catalog metadata are sent.
